Before scheduling, the office considers the requested service, provider availability, and whether the practice appears to be an appropriate fit. This gives patients a clearer understanding of the process before paperwork or payment begins.

New patients

  • Call or text our secure office line at (859) 756-3630 with your name, preferred contact method, requested service, and general availability.
  • The office confirms whether the requested provider and service may be a fit and explains the next administrative step.
  • Routine administrative calls or texts generally receive a response within two business days when a same-day answer is not possible.
  • The office will explain how to provide any needed paperwork or clinical information.

Existing patients

  • Call or text the office for clinical questions, records, labs, refills, or care coordination; the team will direct you to the appropriate next step.
  • Contact the office with enough lead time for refill requests and clinical review; a refill is never guaranteed.
  • General scheduling and administrative questions may also be directed to the office line.
  • Do not use website forms, social media, or standard email for protected health information or urgent clinical concerns.
Communication boundary: Routine administrative requests are not emergency services. Call or text the office for response-time, refill, records, and lab questions.
